The role
As a receptionist, you will play a crucial role in providing a warm, welcoming, and human atmosphere for all visitors to the Lowy Packer Building in Darlinghurst, where the Victor Chang Cardiac Research Institute is located. Reporting to the Office Manager, you will manage phone enquiries, welcome and greet visitors, and ensure security procedures are followed.
The receptionist will play a key role in representing the Institute, providing a positive first impression to visitors, clients, and contractors. We are currently hiring one receptionist that is seeking a fulfilling part-time role, working Monday through Friday – morning shift.
Morning shift: 22.5 hours per week (8:30am – 1pm)
What we will trust you with
- Greeting visitors and clients in a warm, professional, and courteous manner
- Screening and transferring incoming phone calls.
- Responding to queries via phone, email, and in person.
- Issue visitors passes and maintain security protocols.
- Coordinate courier bookings and manage mail distribution.
- Assist with event bookings and room setups.
- Oversee contractor car parking arrangements.
- Collaborate with the Administration and Operations teams to achieve organisational goals.

Essential
- Experience using a PABX system.
- Excellent computer skills and a high level of proficiency in Microsoft Office.
- Excellent communication (verbal and written) and customer service skills.
- Strong organisational abilities with high attention to detail.
- Ability to engage with all levels of management, staff, suppliers, and members of the public.
- Ability to work independently and as part of a team.
- Professional presentation, self-motivated, and shows initiative.
- Warm and friendly communication style
Desirable
- Certificate in Business Administration or relevant field.
- Flexibility to work morning or afternoon shifts as required.
- Flexibility to work full-time during periods of leave.
